Job Description

To administrate and assist with all areas of the Long-Term department, as per the specified standard as laid down by the Company. Improving and implementing document management and after-contract client relations. Establishing and maintaining professional working relationships with employer, colleagues, guests, clients, service providers and resident owners / businesses within the immediate working environment.



· Grade 12 or equivalent

Work experience:

· 2 – 3 Years’ experience working as an Administrator, preferably in the Hospitality sector


· Excellent attendance record

· Well-presented appearance

· Product / systems knowledge: MS Office: Word, Excel, Outlook

· Ability to Communication with guests and Management


· Knowledge of the Sectional Title Act

· Understanding of budgets

· Knowledge of Payprop

Tasks (include but not limited to):


· Secure mandates for rental properties.

· List properties & advertise on the respective channels

· Do property viewings with prospective tenants


· Key management

· Timeous Email response

· Administrate Reports – Project Management, Weekly invoices, Statements

· Rental and Lease Agreements

· Meeting deadlines for tasks, projects and reports

· Administrate Payprop system

· Raising Invoices

· Credit Control

· Readily available at all time to deal with problems or complaints

· Be a registered estate agent

· Knowledge of Sectional Title Act

· Conduct credit checks as per the LT department standard procedures

· Manage property/owner database

· Keep PDF’s up-to-date


· Be the contact between Landlord & tenant and inform landlord about progress with sourcing of tenant.


· Administer the Payprop management system

· Ensure Payprop is up-to-date

· Understand budget

· Assist with Financial Managers month end


Ensure that the property be handed over according to the guidelines stipulated in long term standard operating procedures.
